This Privacy Policy explains how Matrika Technology Pvt. Ltd. (“Matrika”, “we”, “us”, or “our”) collects, uses, and protects information when you visit matrikatec.com.np (the “Website”) or use the J-Jewellery software (the “Software”). We are based in New Baneshwor, Kathmandu, Nepal, and operate in accordance with the laws of Nepal, including the Individual Privacy Act, 2075 (2018).
1. Information we collect
1.1 Information you provide directly
- Demo and inquiry requests: name, shop name, phone number, email, location, when you contact us by WhatsApp, phone, email, or any future contact form.
- License purchases: business name, contact person, billing address, PAN/VAT number, and payment details when you license J-Jewellery.
- Support tickets: the contents of support requests, error reports, optional screenshots, contact phone/email, and the machine/OS information your J-Jewellery installation sends with each ticket.
1.2 Information collected automatically
- Usage data: IP address, browser type and version, pages visited, time spent, referring URL, device type, screen size, and similar diagnostic data — collected via Google Analytics 4 and our server logs.
- Cookies: small text files stored in your browser. See our Cookie Policy for details.
- Security data: our security plugin (Wordfence) logs IPs and request patterns to detect attacks. This data is used only to protect the Website.
1.3 Information from the J-Jewellery Software
The Software runs primarily offline on your shop’s computer. When you submit a support ticket or error report from inside the Software, it transmits diagnostic information to our servers (machine name, application version, error details, and any description or screenshot you choose to attach). Your billing data, customer records, and inventory data are stored locally on your computer and are never transmitted to us unless you explicitly request a remote support session or use our optional cloud-sync feature.
2. How we use information
- Respond to demo requests and provide information about our Software
- Process license purchases and issue invoices
- Provide customer support and resolve technical issues
- Send important service updates (security patches, IRD compliance updates, scheduled maintenance)
- Improve the Website and Software based on aggregated usage patterns
- Detect, prevent, and respond to fraud, abuse, or security incidents
- Comply with legal obligations in Nepal (tax records, IRD audits, lawful requests)
We will not use your information for purposes materially different from those listed above without informing you.
3. Legal basis for processing
We process your information based on:
- Consent — when you submit a contact form, accept cookies, or sign up for communications.
- Contract — to perform our software licensing agreement and provide support to you.
- Legitimate interest — to keep our Website secure, prevent abuse, and improve our products.
- Legal obligation — to meet record-keeping, tax, and disclosure requirements under Nepali law.
4. Sharing your information
We do not sell your personal information. We share it only as follows:
- Service providers — hosting providers, payment processors, email delivery services, and analytics providers (Google Analytics) acting on our behalf under strict data-protection terms.
- Legal compliance — when required by law, court order, or legitimate request from a Nepali government authority.
- Business transfers — if Matrika Technology is merged, acquired, or reorganised, your data may transfer to the successor entity under the same privacy commitments.
5. International transfers
Some service providers (e.g., Google Analytics, our CDN provider) process data outside Nepal. Where this happens, we rely on the data-protection commitments published by those providers.
6. Data retention
- Inquiry / demo records: 2 years from the last contact
- Active customer records (licensing, support): for the duration of your licence + 7 years for tax compliance
- Support ticket screenshots: 12 months
- Server logs: 90 days
- Analytics data: per Google Analytics retention (currently 14 months for event-level data)
7. Your rights
You have the right to:
- Request a copy of the personal data we hold about you
- Ask us to correct inaccurate or incomplete data
- Request deletion of your data, subject to legal retention requirements
- Withdraw consent for marketing communications at any time
- Object to processing based on legitimate interest

8. Data security
We use industry-standard safeguards, including HTTPS encryption for all Website traffic, password hashing, principle-of-least-privilege database access, security plugin protection (firewall + malware scanning), automated patching, and restricted physical/digital access. However, no system is perfectly secure; we cannot guarantee absolute protection. If a data breach affects your information, we will notify you promptly in accordance with Nepali law.
9. Children’s privacy
Our Website and Software are intended for businesses. We do not knowingly collect personal information from anyone under 16. If you believe we have collected data from a child, please contact us and we will delete it.
10. Third-party links
Our Website may link to external sites (e.g., Facebook, WhatsApp, news sources for the Gold News widget). This Privacy Policy does not cover those external sites. Please review their privacy policies separately.
11. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent revision. Material changes will be highlighted on the Website. Continued use of the Website or Software after changes take effect constitutes acceptance.
